How to Prepare a BOM for Component Sourcing

A usable bill of materials (BOM) identifies the components you want to source and the quantities you need. A structured spreadsheet helps keep part numbers, descriptions, and sourcing instructions together.

Include These Details Where Available

  • Manufacturer Part Number (MPN). Use the full ordering code, including suffixes that identify package, grade, or other variants.
  • Manufacturer. Name the original manufacturer where known. Flag uncertainty instead of treating a guessed match as confirmed.
  • Description. Include the component type and useful ratings or specifications.
  • Quantity. State the requested sourcing quantity. If you list quantity per board, also specify the number of boards so the total requirement is clear.
  • Reference or customer part number. Include reference designators or your internal part number where relevant.
  • Package or footprint. Add this where it helps identify the intended variant or fit.
  • Acceptable substitutions or alternates. Say whether alternatives may be proposed and identify any constraints or approval requirements.
  • Special sourcing requirements. Record relevant packaging, grade, documentation, or delivery requirements for review.

Keep the Spreadsheet Easy to Review

Use one component line per row and a clear header row. Keep part numbers as text so spreadsheet formatting does not remove leading zeros or change codes. Distinguish populated items from parts that should not be sourced, and label the file with its project or revision.

Choose an Accepted File Format

The BOM Inquiry accepts XLSX, CSV, PDF, ZIP, or 7z. XLSX or CSV is preferred where practical because each part and quantity can be reviewed as structured data. If using a PDF, make sure the part numbers and quantities are legible.

Images alone are not accepted as standalone BOM files. Submit one file. If the BOM includes supporting documents or multiple files, combine them into one ZIP or 7z archive.

Before You Submit

  • Check that the MPNs and quantities match the intended revision.
  • Explain missing part numbers or unresolved alternatives in your requirements.
  • Make the requested quantity basis clear: per board or total sourcing quantity.
  • Check that your one uploaded file includes the BOM and any intended supporting material.
