Kaconvo Intelligence (Hong Kong) Limited (Kaconvo, we, us, or our) provides electronics sourcing and coordination support through Component Service, Hardware Engineering, and Manufacturing. This policy explains how we handle personal information when you visit our website, submit an inquiry, upload project materials, or communicate with us.
1. Information We Collect
- Contact information: your name, company, business email, phone or WhatsApp number, and country or region, where you provide them.
- Inquiry and project information: component part numbers, quantities, sourcing requirements, engineering requirements, manufacturing specifications, project descriptions, and other details you submit.
- Uploaded materials: documents and files, their filenames, and information contained within them. These materials may include personal information about you or other people.
- Communications: messages, responses, quotation discussions, and related business records.
- Technical information: IP address, browser and device or operating-system information, referring or submission-page address, access or submission times, and website or email-delivery logs.
2. How We Collect Information
You provide information through our RFQ forms, file uploads, and communications with us. Our website, form software, hosting, and email systems also record technical information as needed to operate and troubleshoot these services.
RFQ submission does not create a customer account and does not require registration. Fields marked as required are needed to submit the selected inquiry; without them, the form cannot complete the submission. Other fields are optional. Missing project information may limit our ability to evaluate your request or prepare a quotation.
3. How We Use Information
- Review inquiries and understand sourcing, engineering, or manufacturing requirements.
- Prepare quotations, discuss project scope, and request missing or corrected information.
- Communicate with you and coordinate the services you request.
- Maintain relevant correspondence and business records.
- Operate and troubleshoot the website and email delivery, prevent abuse, and protect our systems.
- Meet applicable legal obligations and address disputes or legal claims.
4. RFQ and Project Information
RFQs are stored for manual review. We use the selected service, contact details, requirements, and supporting materials to assess and respond to the inquiry. An RFQ is a request for discussion or quotation; it is not an automated purchase or the creation of an online customer account.
Please keep your information accurate and tell us if requirements or contact details change. Provide only information relevant to the request, and avoid including unnecessary personal data about yourself or others.
5. File Uploads and Technical Documents
Supporting files may include BOMs, PCB manufacturing files, schematics, drawings, images, spreadsheets, and ZIP or 7z archives. Accepted formats and whether an upload is required depend on the inquiry type shown on the form. Files are used to evaluate and respond to your inquiry and, where relevant, support the requested services.
Only upload materials you are authorized to provide. Before uploading highly confidential, NDA-protected, or otherwise sensitive materials, contact Kaconvo to discuss an appropriate way to share them. Avoid including identification documents, financial account details, or other unnecessary personal information.
Uploaded files can be accessed through direct download links without signing in. Anyone who obtains a link may be able to open or download the file. The upload facility should not be treated as a private or authenticated document portal. Do not rely on the link being difficult to guess as a confidentiality safeguard.
A selected file may be transferred to the website before you submit the completed RFQ. Closing or abandoning the form does not necessarily delete a file immediately. Contact us if you uploaded a file in error; provide enough information to identify it without unnecessarily resending sensitive material.
6. Email Communications
An RFQ generates an internal email notification containing the relevant inquiry and contact information. Your submitted business email is used as the reply address. Supporting files are referenced by download links rather than attached to these notifications.
We use email to discuss your inquiry, ask for clarification, and communicate about quotations or agreed services. Email systems and delivery logs can retain message content, sender and recipient details, file links, delivery status, and error information. Mailbox copies may remain separately from the website record. Submitting an RFQ does not subscribe you to a newsletter.
7. Cookies and Similar Technologies
WordPress may use functional cookies for features such as signing in, maintaining a session, or remembering preferences when those features are used. You do not need to sign in to submit an RFQ. You can use your browser settings to view, block, or delete cookies; blocking functional cookies may affect features that depend on them.
The current website does not have an advertising or third-party audience-analytics service configured. This does not mean that no technical information is recorded: form submissions and server or email logs can still contain the information described above. There is currently no cookie-consent banner or on-site consent-preference panel.
8. Service Providers and Other Disclosures
Providers supporting website hosting, WordPress and form infrastructure, email delivery, and technical or security support may process information to operate these services for us. Installing software does not itself mean that every software vendor receives your inquiry; access depends on the service provided.
Where necessary to evaluate or carry out your request, relevant project details may also be shared with sourcing, engineering, or manufacturing providers involved in that request. The information shared should be limited to what is needed for that purpose. Discuss confidentiality requirements with us before providing sensitive materials.
We may disclose information when required by applicable law or a valid legal process, or when necessary to protect rights, address fraud or abuse, or resolve a dispute. The current RFQ process is not used to sell personal information or enroll users in advertising campaigns.
9. Data Retention
We retain inquiry information, communications, and uploaded materials for as long as reasonably necessary for quotation, project evaluation, requested services, business records, security, and applicable legal purposes. Retention depends on the status and nature of the inquiry, any ongoing relationship or dispute, and relevant obligations. Information no longer needed should be deleted or anonymized where appropriate.
There is no fixed automatic deletion period covering all submitted RFQs and final uploaded files. Temporary-upload housekeeping is separate from retention of completed inquiry records, final files, mailboxes, logs, and backups. Deleting a website record does not necessarily remove every related copy at the same time. You can contact us about retention or request deletion, subject to applicable requirements and legitimate reasons for keeping a record.
10. Data Security
We use administrative access controls and technical measures, including basic form anti-spam filtering, to help protect the website and information we handle. No internet transmission or storage method is completely secure. In particular, the direct-link file access described above does not require a login.
Please do not send passwords or unnecessary sensitive personal information through the RFQ. If you suspect that information or a file link has been disclosed in error, contact us so we can review the situation.
11. International Users and Processing
Kaconvo is a Hong Kong company. Depending on the hosting, email, technical-support, and service arrangements used, information may be processed outside your country or region. Those locations may have different data-protection laws. Contact us before providing information if your project has location or transfer restrictions; we can discuss the relevant arrangements rather than assuming they meet your requirements.
12. Your Choices and Rights
You can choose not to submit an inquiry, omit optional information, manage cookies through your browser, and contact us to update information or ask about its use. You may request access to or correction of personal information we hold about you.
Depending on the law that applies and the circumstances, you may also have rights to request deletion, restrict or object to processing, receive a portable copy, or withdraw consent where processing relies on consent. These rights may be subject to exceptions. You may raise concerns with the relevant privacy regulator where applicable.
Send requests to the contact address below. We may need to verify your identity and identify the relevant records before acting, while avoiding unnecessary information collection. We will consider requests under applicable requirements and explain any limitations on what we can do. Withdrawing consent does not change the lawfulness of earlier processing based on that consent.
13. Children’s Privacy
Our website and services are intended for business and professional users, not children. We do not seek personal information from children. If you believe a child has provided personal information to us, contact us so we can review it and take appropriate action, including deletion where appropriate.
14. Third-Party Links
Links to external websites or services lead to sites with their own privacy practices. Review their policies before providing information. This policy describes Kaconvo’s handling of information, not the independent practices of those external sites.
15. Changes to This Policy
We may update this policy when our services or information practices change. The latest version will appear on this page with an updated date. Where applicable requirements call for additional notice or consent, those requirements will apply; simply continuing to browse is not treated here as blanket consent to every new use.
16. Contact Us
For privacy questions, access or correction requests, or concerns about uploaded materials, contact Kaconvo Intelligence (Hong Kong) Limited at support@kaconvo.com. Please identify the relevant inquiry where possible and avoid including more personal information than is needed to explain your request.
